Race Against Time

Emergency Azure migration case study — Race Against Time

Emergency cloud migration that saved a tax season

For a UK accountancy firm, January is the most important month of the year. When a looming database failure threatened to take their core software offline days before the Self-Assessment deadline, Promax IT Solutions executed an emergency migration to Microsoft Azure — with zero downtime and zero disruption to the client’s busiest period.

The challenge: a ticking time bomb before tax season

During a routine infrastructure health check in the first week of December, our team identified a serious risk. The firm’s core accounting software relied on Microsoft SQL Express, which carries a rigid 10GB database limit. A sudden, large-scale data import had pushed them within days of hitting that ceiling.

The timing could not have been worse. With the January Self-Assessment deadline — the busiest period for UK accountants — fast approaching, reaching the limit would cause the software to simply stop working. For the client this was not a minor technical glitch; it was a potential business disaster during the one month they could least afford it.

The Promax solution: a proactive, zero-downtime migration

Rather than taking a “wait and see” approach, we moved immediately with a clear, low-risk plan:

  • The strategy: an immediate transition from aging on-premises servers to a scalable Microsoft Azure environment.
  • Zero-downtime execution: our engineers carried out the entire migration during the Christmas holiday period, so daily operations were never interrupted.
  • Removing the ceiling: we moved the database into Azure, eliminating the 10GB SQL Express restriction permanently and giving the firm room to scale.

Because the work was planned and executed ahead of the deadline, the client never experienced the panic of a system outage — the problem was solved before it could ever surface.

The result

The firm entered January — its most critical month — on a faster, more reliable and infinitely scalable cloud system. By acting proactively, we didn’t just move a database; we protected their peak tax season and their reputation with clients. Promax continues to manage their security and infrastructure today, so the team can focus entirely on their clients instead of their IT.

Frequently asked questions

Why does the Microsoft SQL Express 10GB limit matter?

SQL Express is a free edition of Microsoft SQL Server with a hard 10GB limit per database. Once a database reaches that size it can no longer accept new data, which can bring business-critical software to a halt. Migrating to Azure SQL removes that limit and adds scalability and resilience.

Can a database be migrated to Azure without downtime?

Yes. With careful planning and by scheduling the cutover outside of business hours — as we did over the Christmas period — a migration can be completed with no interruption to day-to-day operations. Read more about our managed IT services.

How quickly can Promax respond to an urgent IT risk?

We identified and resolved this issue proactively during a routine health check. For urgent risks, our team can scope and begin remediation within days. Talk to us about a free IT health check.
